View demo reportReconcile customer payments across invoices, receipts, ledgers, and bank records
Customer payments often appear across multiple reports such as invoice registers, receipt registers, AR ledgers, bank statements, payment gateway files, and ERP exports. Cointab helps bring these into a clear reconciliation report.
The Customer Payment Reconciliation template helps finance teams compare customer invoices, payment records, receipt entries, bank credits, deductions, credit notes, and customer balances.
This helps finance teams answer questions such as:
- Which customer invoices have been paid?
- Which customer payments were actually received in the bank?
- Which payments are recorded internally but not found in the bank statement?
- Which bank credits do not have matching customer payment records?
- Which payments relate to which customer, invoice, receipt, or collection batch?
- Which deductions, TDS, withholding, credit notes, claims, or short payments explain the difference?
- Which customer payments were duplicated, delayed, reversed, adjusted, or posted in another period?
- Which items need customer follow-up, AR review, bank review, or internal correction?
This template is useful for accounts receivable teams, finance teams, collections teams, controllers, CFOs, accounting firms, and businesses that need a repeatable customer payment reconciliation process.
Required files for this template
Cointab's ready-made workflow is designed around common customer payment reports, receipt registers, invoice reports, customer ledgers, bank statements, ERP exports, deduction files, and supporting reports used for customer payment reconciliation.

| Customer Ledger / AR Ledger | Used to compare payment activity with customer balances, invoices, credit notes, debit notes, journal entries, outstanding receivables, and ledger postings. |
| Bank Statement | Used to compare internal customer payment records with actual bank credits, bank dates, value dates, UTRs, references, narration, and received amounts. |
| ERP / Accounting Export | Optional, but useful if customer invoices, payments, receipts, and ledger records are maintained in SAP, Oracle, NetSuite, Microsoft Dynamics, Tally, Zoho Books, QuickBooks, or another ERP/accounting system. |
| Collection Batch / Payment Advice Report | Optional, but useful where payments are received in batches, grouped by customer, entity, bank account, business unit, payment mode, or collection run. |

| Credit Note / Debit Note Report | Optional, but useful where credit notes, debit notes, sales returns, write-offs, disputes, or adjustments need to be matched with invoice and payment records. |
| Supporting Data | Optional supporting files can be used for customer mapping, invoice mapping, payment reference mapping, UTR mapping, bank account mapping, payment mode mapping, branch mapping, entity mapping, cost center mapping, currency conversion, or other enrichment. |
What Cointab matches in customer payment reconciliation
Cointab compares customer payment records with invoices, receipts, customer ledgers, bank credits, deductions, credit notes, ERP records, and optional supporting reports.
Customer invoices and payments
Match customer payments with invoice numbers, customer references, receipt numbers, voucher numbers, and outstanding amounts.
Receipt records and bank credits
Compare internal receipt or collection records with actual bank statement credits.
Customer ledger and AR records
Check whether customer payments are posted correctly in the customer ledger or AR ledger.
UTRs and payment references
Match payments using UTRs, bank references, receipt references, payment references, cheque numbers, transaction IDs, ERP document numbers, or narration fields.
TDS, deductions, and short payments
Identify whether TDS, withholding, customer claims, debit notes, discounts, disputes, or other deductions explain payment differences.
Credit notes and adjustments
Match credit notes, debit notes, sales returns, write-offs, reversals, and adjustments against invoice balances.
Collection batches and grouped payments
Match one bank credit against multiple customer invoices or payment records, or group multiple receipts against one customer payment advice.
Internal records, if added
If ERP, books, sales, customer statement, or bank data is included, Cointab can connect payment records with wider AR and accounting data.
Common customer payment reconciliation exceptions
Cointab helps finance teams focus on customer payment differences instead of manually reviewing every invoice, receipt, bank credit, and ledger entry.
Payment not found in bank
A customer payment is recorded internally, but the matching bank credit is not found for the selected period.
Bank credit without matching payment
A bank credit appears without a clear matching customer payment, invoice, receipt, or collection record.
Invoice paid but still open
A customer invoice appears to be paid, but the invoice or AR ledger still shows it as open.
Payment recorded but invoice missing
A payment exists in the receipt or collection report, but the matching customer invoice is missing or unclear.
Amount mismatch
The customer, invoice, UTR, payment reference, or receipt appears to match, but the payment amount and expected amount are different.
Short payment
The amount received is lower than the invoice amount or expected payment amount.
Excess payment
The amount received is higher than the invoice amount or expected outstanding balance.
TDS or deduction difference
TDS, withholding, customer claim, debit note, discount, dispute, or other deduction explains part of the payment difference.
Duplicate payment
The same customer payment, receipt, invoice payment, UTR, or bank credit appears more than once.
Reversed or adjusted payment
A payment is received internally but later reversed, adjusted, corrected, or reallocated.
Grouped payment difference
One bank credit represents multiple customer invoices or receipt records, or multiple bank credits need to be grouped against one customer payment.
Timing difference
A customer payment belongs to one period but is received, posted, or allocated in another period.
Incorrect customer allocation
A payment appears to be received, but it is mapped to the wrong customer, invoice, entity, branch, bank account, or cost center.
Missing or unclear reference
Customer code, invoice number, receipt number, UTR, voucher number, payment reference, or bank narration is missing, incomplete, or inconsistent.
Skipped record
A row cannot be reconciled because required data is missing, invalid, duplicate, incomplete, or unusable.

Structured matching first, AI assistance for difficult cases
Cointab applies structured reconciliation logic first, then uses AI to help with difficult open transactions where fixed rules are not enough.
Structured matching
Structured matching can use:
Matching scenarios
One-to-one
One customer payment record matches one invoice, receipt, ledger entry, or bank credit.
One-to-many
One customer payment maps to multiple invoices, deduction entries, TDS records, credit notes, or bank entries.
Many-to-one
Multiple customer invoices or receipt records are grouped into one bank credit or payment advice.
Many-to-many
Multiple invoices, payments, deductions, bank entries, and ledger records are grouped and compared together.
Partial matching
Identifiers match, but payment, invoice, deduction, ledger, or bank amounts differ.
Balance-level matching
Invoice value, receipts, deductions, adjustments, and outstanding balances are compared together.
Net and contra matching
Invoices, receipts, TDS, deductions, debit notes, credit notes, claims, disputes, write-offs, reversals, corrections, and bank charges are netted where required.
AI-assisted transaction matching
After structured rules run, AI helps match difficult open transactions where:
- References are incomplete
- Bank narration is messy
- Customer names are written differently
- Invoice numbers are formatted differently
- UTRs or voucher numbers appear inside long descriptions
- Multiple invoices are paid through one bank credit
- Payment advices are split across different files
- TDS or deductions need contextual review
- Credit notes or debit notes are unclear
- Reversed or adjusted payments need review
- Amounts require business context
- Multiple possible matches exist
AI exception analysis
For transactions that remain open, AI can help identify possible reasons such as:
AI assists matching and exception review, but Cointab keeps reconciliation transparent, reviewable, and audit-friendly.
