Examples
What users do
- Select reconciliation
- Select period

- Review report
Custom reconciliations
Build your own reconciliation for business-specific workflows. Best when your internal reports, external reports, matching columns, or business rules are unique to your company.
Examples
What users do
- Define side A and side B
- Upload reports
- Select amount and identifier columns
- Add supporting data if required
- Save and reuse the workflow
Reconcile any two sides of financial data
Every reconciliation in Cointab follows a simple finance-friendly structure: your records on one side and external records on the other.
Side A — your records
These are the records your business expects to be correct.
Side B — external records
These are records received from external systems, banks, marketplaces, PSPs, partners, vendors, or customers.
Cointab compares both sides, matches transactions, highlights differences, and gives your team a clear reconciliation report.
How Cointab works
Cointab keeps the workflow simple for finance users while handling complex matching logic in the background.
Select reconciliation and period
Choose a popular reconciliation or create a custom workflow. Then select the period you want to reconcile.
Use monthly, quarterly, yearly, lifetime, or custom periods.
Upload or automate data
Upload CSV, XLS, or XLSX files manually, or configure automated data input through email, SFTP, or APIs.
Manual upload is available for quick starts. Automation can be added for recurring workflows.
Configure required fields
Select the header row, date column, amount column, and reference or identifier columns.
Examples: order ID, transaction ID, invoice number, payment reference, bank UTR, AWB number, settlement ID, customer or vendor code.
Prepare data
Add supporting data, merge reports, enrich records, or create calculated columns before matching.
Cointab helps prepare the data before reconciliation instead of forcing users to clean everything manually in Excel.
Run reconciliation
Cointab applies structured matching logic across one-to-one, one-to-many, many-to-one, many-to-many, net, contra, and partial matching scenarios.
Review report
Review fully matched, partially matched, unmatched, and skipped records. Drill into transaction details and download Excel reports.
Automate future runs
Once the workflow is ready, automate data input, scheduled reconciliation runs, and output delivery using email, SFTP, or APIs.
Prepare messy finance data before matching
Real-world reports are rarely clean. Cointab helps users prepare data before reconciliation so matching becomes more reliable.
File upload
Upload CSV, XLS, or XLSX reports from internal systems, partners, banks, PSPs, marketplaces, and vendors.
Field mapping
Select date, amount, and reference columns from each report.
Multiple reports
Upload multiple files and reports on both sides of the reconciliation.
Format validation
Cointab checks whether uploaded files match the expected structure and highlights missing or incorrect fields.
Supporting data
Use additional files for lookup, enrichment, merging, and calculations.
Derived columns
Create calculated fields that can be used in matching, reporting, or output.
Add supporting data for lookup, merging, and enrichment
Supporting data helps prepare the primary reports before reconciliation. It is useful when one report does not contain all the information needed for matching.
Examples of supporting data
Use cases
- Add missing order details
- Pull order status from another report
- Add AWB number to a sales report
- Merge sales and return data
- Look up fee or tax rate
- Convert partner-specific IDs into internal IDs
Create calculated columns using plain English
Finance users can describe what they want, and Cointab generates an Excel-style formula for derived columns.
Example prompt
If order processing status is Delivered, use payment amount. Otherwise use 0.
Generated formula
=IF(UPPER(TRIM(C1))="DELIVERED",D1,0)Cointab shows the generated formula and sample output before applying it, so users can review the result first. Derived columns can be used as amount columns, identifier columns, matching fields, lookup fields, or output fields.
Examples of derived columns
Built for real-world reconciliation complexity
Transactions do not always match one-to-one. Cointab is built to handle grouped, partial, contra, and exception-heavy matching scenarios.
One-to-one matching
Match one transaction on side A with one transaction on side B.
One-to-many matching
Match one transaction on one side with multiple transactions on the other side.
Many-to-one matching
Match multiple transactions on one side with one transaction on the other side.
Many-to-many matching
Group multiple records across both sides and compare totals.
Net matching
Match grouped records based on net amounts.
Contra matching
Handle reversals, refunds, negative entries, and offsetting transactions.
Partial matching
Identify records where identifiers match but amounts differ.
Identifier matching methods
Structured rules run first, so matching remains consistent, explainable, and repeatable.
AI helps match difficult open transactions
After structured rules run, AI helps review open transactions where fixed logic may not be enough.
This is useful when transactions have:
- Messy or incomplete descriptions
- Missing or partial identifiers
- References embedded inside narration or remarks
- Slightly different references across systems
- Inconsistent partner data
- Unstructured settlement descriptions
- Refund, deduction, or adjustment text
- Complex exception scenarios
A transaction may not have a clean order ID column, but the order ID may appear inside a payment description, bank narration, marketplace remark, or settlement note. Cointab can use AI to help identify that possible match.
AI assists matching, but Cointab remains conservative and audit-friendly. If the evidence is not strong enough, the transaction should remain open for review.
Understand why transactions remain open
For transactions that remain unmatched or partially matched, Cointab can help identify possible reasons and next actions.
AI can help identify whether an open item may be due to:
Output examples
- “Likely delayed settlement”
- “Possible missing refund report”
- “Amount difference may be due to deduction”
- “Partner report may not include this order”
- “Check if this transaction belongs to the next period”
Cointab helps users move from “what is unmatched?” to “why is it unmatched and what should we do next?”
Clear reconciliation reports your team can use
Cointab gives users a complete view of matched, partially matched, unmatched, and skipped records.
Fully matched
Transactions where identifiers and amounts match.
Partially matched
Transactions where identifiers match, but amounts are different.
Unmatched
Transactions present on one side but not found on the other.
Skipped
Records excluded from reconciliation because data is missing, invalid, incomplete, duplicate, or unusable.
Transaction-level review
- View records from both sides
- Drill into matched transaction details
- See transaction-level differences
- Filter records for review
- Review skipped records
- Export Excel reports
- Share outputs internally
Manually match exceptions when business context matters
Some exceptions need human judgment. Cointab lets users manually match transactions that could not be matched by structured rules or AI.
Manual match is useful when:
- The user knows the business context
- Partner data is incomplete
- Identifiers are missing
- A one-off exception needs treatment
- AI cannot confidently match the transaction
Capabilities
- Select transactions from both sides
- Match when totals tally
- Mark matches as manual
- Undo manual matches when needed
- Keep manual actions auditable
Manual matching gives finance teams control without taking reconciliation back to spreadsheets.
